This is an initiatives / opportunities position. Terms and conditions of employment are as outlined in the Support Staff Collective Agreement.

Reporting to the Manager, Transfer & Applicant Services, the incumbent supports the credit transfer system initiative by coordinating transfer student support services and facilitating prior learning assessment and recognition services, college wide. This includes ensuring that effective processes, policies, and procedures are in place to optimize the granting of academic credit, along with developing transfer facilitation and transitional support services. Furthermore, this position will coordinate articulation agreements between the college and its partners, both domestically and internationally ensuring that college policy and procedures are followed accordingly. He/she also works closely with academic program areas to facilitate timely and consistent services and meets with students to provide direction/guidance on the credit transfer process. Specific duties include, but are not limited to:

  • Coordinates PLAR activities college-wide to optimize the granting of academic credit
  • Acts as resource and counsel to academic areas and students about educational pathways and PLAR processes
  • Coordinates transfer student support services college-wid
  • Develops and delivers transfer student orientations
  • Develops orientation packages, banners, brochures, etc., and works with Marketing to ensure consistent messaging.
  • Promotes PLAR by working collaboratively with other college staff to advance the awareness of this mechanism as well as participating in events (i.e. Open House, Community Nights, Preview Days, and College Info. Nights and Tech Café etc.)
  • Maintains current listing of accredited institutions with whom we have granted transfer credit, including international institutions of higher education
  • Coordinates and ensures that all credit transfers that are approved through Ontario Publicly Assisted Institutions (OPA) are entered in the ONCAT provincial database
  • Maintains and updates data/information in the Transfer Articulation SIS module which feeds information to the Transfer Equivalency front facing student tool
  • Ensures that all OPA institutions are properly identified in student information system (banner) for the enrolment audit.
  • Liaises with Manager, Transfer & Applicant Services to ensure that agreements are consistent with current PLAR practices
  • Reviews and makes recommendations for updates to PLAR policies for currency, consistency and relevancy
  • Liaises with academic program areas to facilitate timely and consistent services
  • Coordinates with academic areas on pathways from other provincial initiatives e.g. Heads of Business initiatives 
  • Helps plan and attends the Academic Pathways Fair
  • Coordinates communication with advanced standing applicants, admissions and academic areas and ensures that requests are processed in a timely manner
  • Maintains and updates course equivalencies in SIS and ensures information is accurate in Transfer Equivalency Tool (TE)
  • Approves transfer credits, and PLAR assessments
  • Tracks advanced standing applicants by running reports in SIS to ensure transfer credit assessments are submitted and complete in timely manner
  • Liaises with Admissions to ensure advanced standing applicants are admitted to correct entry term
  • Provides recommendations and guidance to part time staff to ensure that all transfer credits are entered appropriately and efficiently 
  • Ensures that appropriate fees have been assessed and academic records accurate not only from a records perspective but for funding purposes as well – enrolment audit
  • Reviews pathway agreements to ensure currency, consistency and relevancy prior to signin
  • Ensures that signed agreements are entered into SIS as required
  • Travels to other campuses to provide credit transfer information to all students at all locations  
  • As part of the Transfer Services team, facilitates incoming, outgoing and language proficiency transfer agreements  
  • Posts agreements on the Credit for Prior Learning  webpage
  • Investigates and works with universities and institutions in Ontario, Canada and world-wide to initiate attractive pathways for Georgian graduates.
  • Advises Coordinators and Deans on potential new and changing agreements
  • Liaises with the International Department to investigate, analyze and review pathways to increase the number of incoming students
  • Consults with college legal department about ambiguous or new language in articulation agreements
  • Hosts university visitors with a mutual goal to create attractive pathways for our graduates
  • Updates ONTransfer.ca with information regarding incoming articulation agreements with other provincial institutions.
  • Serves as a resource for academic areas when they are pursuing new transfer agreements
  • Produces (designs, writes, edits) and distributes a complete guide of all current agreements and confirmed transfer opportunities the college has entered into with colleges, universities and other post secondary institutions
  • Provides information to Deans and Coordinators on trends in degree transfer provincially, nationally and internationally
  • Subject matter/functional expert to support various project and continuous improvement initiatives within the Transfer Services team (i.e. system upgrades, articulation projects, , enrolment audit processes, process improvements, etc.).


Qualifications:

  • Successfully completed a two-year postsecondary diploma in a relevant field of study that may include, but is not limited to Business or Office Administration. 
  • A minimum of three years’ experience working in a post-secondary education environment including familiarity with general concepts associated with transfer credits, course assessment, course equivalencies and government initiatives regarding student pathways in post-secondary.
  • Experience with data entry and a demonstrated ability to follow and communicate a system’s approach to enter information.
  • Demonstrated customer service, interpersonal and communication skills (oral / written) to liaise with a varied client group with professionalism and tact.
  • Proven organizational skills to work effectively, handling numerous tasks simultaneously. 
  • Proven ability to work independently and participate as an effective team member.
  • Knowledge of a Student Information System, preferably Banner, is an asset.
  • Experience with Microsoft Office (Word & Excel) to create and analyze spreadsheets and generate correspondence.
